California Simplifies the E-Payment Process

QuickBooks Payroll Users take note!

Earlier this year the California Employment Development Department (EDD) eliminated two areas in the e-payment process to make it easier for customers. You no longer have to enroll with the agency to make e-payments, and now you no longer have to enter a 4-digit PIN number when submitting an e-payment.

Your bank account information is sent automatically to the CA agency with your e-payment; therefore, it is imperative to have your information set up correctly within your payroll system. To prevent errors or delays, use the tips below to ensure the bank account you are using for e-pay is entered correctly. If you make changes to the bank account, you must update your system again at that time.

My payment shows as "Agency Accepted" in product, but I just got a call from California EDD that my payment did not work. What?s happening?
An "Agency Accepted" status for your payment means the agency has accepted your submission. However, if there is an issue with your bank account, your bank will contact the California EDD directly. When this happens, you will be contacted by the California EDD.

What are some ways I can ensure the accuracy of my bank account information?

  • Enter account information EXACTLY as it appears. Account numbers sometimes have leading zeros, dashes, or spaces that you should include when you enter your account information in QuickBooks.
  • Note that routing/transit numbers are ALWAYS nine digits. Although the length and style of account numbers can vary, the routing/transit number (which usually appears before the account number on the bottom of your check) is always nine digits.

Verify your routing and account number with your bank. For some business accounts, the routing number for electronic payments is not the same as the one that appears on your check. If you have been notified that your account number is incorrect, contact your banker to verify your account number.
